Document Codes

 

The Instrument column of a chain of title record displays a two-letter code that is referred to as Document Code or Type. Some of these codes represent legal documents that are integrated into the title chain. The integrated documents are classified into two categories called Primary and Secondary.

 

Primary Document Types

 

Some examples of primary document types that trigger the integration of reference documents into the title chain are:

Integrated R&R Reports

 

An Integrated R&R Report displays all "secondary" documents (such as an Assignment), which refer to "primary" documents (such as a Trust Deed) as part of the title chain. This is an optional feature which can be turned on or off within the security system. Contact your Data Trace System Customer Service Representative for more information on this feature.

To generate an Integrated R&R Report, DTS 2.0 identifies the primary for the property, performs an automatic search of the Reference file, and integrates the secondary into the title chain immediately following the primary documents they reference. The secondary documents are indented when they are displayed in the title chain.

If a secondary document was in the title chain originally, but DTS 2.0 is unable to identify the appropriate referenced primary document, the secondary document will continue to be shown in its original chronological sequence. It is important to remember that if the primary or secondary documents in question are not on the primary or secondary document type listings, a separate Reference search is necessary.
